BSR Tools ("we", "us", "our") is the data controller for the personal information described in this policy. This explains what we collect through bsrtools.co.uk, why, and what your rights are.

What we collect

We only collect what's needed for the specific thing you're doing on the Site:

• Enquiries and hire requests (basket "Request Quote," a product page's "Request Hire," or the homepage quick-quote form) — your name, email and phone number, plus optionally your company name, delivery postcode, the equipment and dates you're interested in, and any notes you add. You don't need an account to submit one of these.
• Account registration and My Account — your email and password (handled securely by our authentication provider, Supabase — we never see your password itself), name, phone number, and for business accounts, company name, VAT number, and company registration number.
• Delivery addresses you save to your account.
• Trade account applications — business/contact details, insurance details (if you're using your own insurance to cover hired equipment), requested credit limit, invoicing preferences, and an explicit marketing opt-in choice (unticked by default — see "Marketing" below).
• ID and compliance documents — if you apply for an account or a hire that requires it, we ask for photo ID, proof of address, or (for trade accounts) business and insurance documents. These are stored securely and are only accessible to our staff, not visible to other customers or the public.
• Booking details — once a hire is confirmed, we hold the delivery/collection details, equipment hired, and any notes relevant to that hire.

Cookies and tracking

This Site does not use cookies, and does not use any third-party analytics, advertising, or tracking scripts of any kind.

The Site does use your browser's local storage (not a cookie) to remember practical things between visits — the contents of your equipment basket, your selected delivery area, and (if you're logged in) your login session. This stays on your own device and isn't used to track you across other websites.

How we use your information

We use your information to:

• respond to enquiries and quote requests;
• arrange, confirm, and deliver equipment hires;
• manage your account, including verifying trade/business applications and the documents needed to do so;
• contact you about an existing enquiry or hire; and
• meet our legal and accounting obligations.

Our legal basis for this is that it's necessary to take steps at your request before entering a contract with you, to perform a contract with you (once a hire is confirmed), or our legitimate business interest in responding to enquiries and running our hire business — except for marketing, which relies on your consent (see below).

Marketing

We only send marketing communications if you've actively opted in — for example, via the marketing opt-in checkbox on the trade account application, which is unticked unless you tick it yourself. You can withdraw this consent at any time by contacting us.

Who we share your information with

We don't sell your personal information. It's stored with our database and hosting provider, Supabase, which we use to run the Site securely. If we introduce email or SMS providers to send you hire notifications in future, we'll only share the minimum information needed for that purpose. Beyond that, we don't currently share your information with any other third party — we don't use a payment processor, courier API, or marketing platform that receives your data.

We may need to share information with our professional advisers, or with authorities, where we're required to by law.

How long we keep your information

We keep your information for as long as we have an ongoing relationship with you (an open account, or an active or recent hire), and afterwards for as long as we need to for legal, accounting, or dispute-resolution purposes — ID and compliance documents in particular are typically kept for the period required by our insurance and hire-industry obligations. If you'd like your data deleted sooner, contact us and we'll do so unless we have a legal reason to keep it.

Your rights

Under UK data protection law, you have the right to:

• ask for a copy of the personal information we hold about you;
• ask us to correct anything inaccurate;
• ask us to delete your information, where we don't have a legal reason to keep it;
• ask us to restrict or object to certain processing; and
• ask for your information in a portable format.

Children

This Site is intended for people aged 18 and over, in line with standard equipment hire terms. We don't knowingly collect information from children.

Changes to this policy

We may update this policy from time to time — for example, as the Site's features change. The current version will always be available on this page.
